Job Description

Job Summary:

The Site Liaison is expected to deeply understand the organizations that they support and have strong relationships with management and other key individuals in order to fulfill the Ascension Information Services (AIS) Mission. As AIS is seeking to meet the needs of the various operations/organizations, they act as the focal point for connecting with key business and IT stakeholders.

The Site Liaison aligns AIS with regional business operations by negotiating acceptable service levels and coordinating with AIS peers to meet those service expectations and demonstrate such with meaningful service metrics. The Site Liaison takes the lead on issues and oversees related communications and AIS performance improvement plans.

Responsibilities:

  • Monitors AIS performance within the supported region or ministry. The Site Liaison will monitor regional performance, share it with local leadership, and coordinate improvement plans with IT peers when performance does not meet mutually agreed upon expectations.

  • Works with AIS peers and regional business leadership to identify and document unmet service expectations, and coordinate with AIS leaders to negotiate acceptable performance measures with the business.

  • While the Site Liaison does not have budget responsibilities, they are expected to work with Finance and IT to make sure expenses related to local AIS Operations are known and budgeted.

  • Reviews and acts upon purchase requests as directed by AIS policy.

  • Conducts and documents regular, scheduled rounding of patient care areas; AIS Operations; and other relevant operational areas.

  • Escalates situation awareness where AIS Operations has a measurable negative impact on patient care or business functions. The Site Liaison is responsible for tracking, escalating and communicating progress to appropriate stakeholders until the issue is resolved.

  • Analyzes assigned business unit's operations to understand strengths and weaknesses and to determine opportunities for automating processes and functions.

  • Assists with business process redesign and documentation as needed for new technology.

  • Translates high level business requirements into functional specifications and manages changes to such specifications.

  • Educates designated staff on the direction of the business.

  • Negotiates agreements and commitments between the department and business unit(s) from initial requirements to final implementation.

  • Interface daily with physicians and clinical leaders.

Communication:

  • Spearheads the resolution and communication of ministry specific AIS issues such as unplanned outages and critical application issues. (Enterprise IT issues will be spearheaded by the Director, Infrastructure).

  • Effectively communicates what is happening in AIS to all relevant business leaders in the region acting as both a business advocate to AIS and an AIS advocate to business leaders.

  • Communicates AIS Services offered, and work to direct regional business requests, towards existing enterprise solutions ensuring that local activities are aligned with our system-wide directions.

  • Communicates business perception to AIS peers and leadership.

  • Communicates the results of the AIS capital planning process and other AIS decisions and customize those communications to the specific interest of the regional/ministry organization.

Coordination and Control

  • Sets priorities for operational and project and submits to Products and Services

  • Provides input to increase the effectiveness and quality of service delivery by field technicians.

  • Communicates risks to security, privacy and operations to the appropriate parties and ensure they are addressed.

  • Sets expectation that employees will follow AIS change management policy. Ensuring that all requests, incidents, and changes logged in appropriate systems by their staff.

  • Coordinates and approves changes affecting the region/ministry

Project Responsibilities

  • Act as the project request coordinator collecting AIS requests (per existing PMO methodology) for project desired by the operations within the region/ministry.

  • Shepherd the approved projects you initially coordinated so that they are chartered, planned, launched and completed within the budgeted project years.

  • Act as project sponsor or AIS leader when assigned.

  • Provide project communications to local leadership and AIS organization, specifically the RMIO.

  • Make sure key stakeholders know what they should be doing to complete the projects (roles, key dates, PMO methodology)

  • Escalate roadblocks such as under-performing stakeholders, unavailable resources, changing business requirements.

  • Update the IT Portfolio database accordingly.

Qualifications

Education:

  • Bachelor's degree in a related field, or combination of High School degree and related experience required

  • Bachelor's degree in a related field preferred

Work Experience:

  • 3 Years Preferred Technical Experience.

Preferred work experience:

  • Healthcare experience is a plus.

  • Experience with ECW or Meditech is preferred.

  • IS Operations experience is preferred.

  • Strong relationship building skills highly preferred
