Job Description

Job Summary:

Performs contract administration. Coordinates and maintains information used to maximize use, compliance and economic advantages related to contracting.

The IT Sourcing Agent will generate IT services and product contracts of low dollar and low complexity sourcing projects from start to finish. This may include requirements analysis, communicating with the requesters to close any data gaps, publishing the package to the identified suppliers, following up with the suppliers to ensure adequate participation, summarizing proposals back to the requestor using the intersection of cost, quality and outcomes as the basis for presentation. The Agent will work on projects under the direction of the IT Sourcing Leaders and will support the negotiation of IT services, products and equipment for low dollar, low complexity purchases.

Responsibilities:

  • Maintains contract management system and contract data.

  • Prepares, edits and reviews contract documents in the contract management system.

  • Assists groups with conducting audits.

  • Conducts contract management system training.

Desired Position Accountabilities:

  • Individual contributor acting as the liaison between AIS product delivery leader and suppliers to procure goods and services, ensuring ordering documents and pricing adhere to contract terms and conditions.

  • Responsible for all aspects of procurement from request through signing.

  • Recommending contractual changes to streamline processes and reduce cycle time while ensuring that the client is exposed to no additional risk.

  • Ability to manage several open contract requests at any given point in time

  • Recommend when contract amendments are applicable and actively participate in contract negotiations

  • Work to achieve a competitive advantage in total cost, quality, technology, and supply continuity across disciplines to ensure achievement of acceptable products and suppliers as indicated by the AIS Product Delivery Leader

  • Obtain and monitor the detail necessary to track and report on all business requests, knowing when to escalate

  • Reviews and analyzes sourcing data, market trends, and benchmarking best practices and maintains market awareness to provide continuous improvements for sourcing strategies

  • Work with different groups to resolve problems, escalate issues, and mitigate risks

  • Provides regulars updates on IT category strategies and vendor relationship management programs

  • Maintain and develop supplier relationships (trade shows, supplier meetings, conferences, etc.)

  • Tasks related to Vendor Setup, Analysis and Reporting will impact the business as a whole and will be critical in ensuring the continuity of business processes.

  • Coordinates storage and back up of supplier transaction documentation

Physical Demands:

  • Travel as needed by air and ground

Work Environment:

  • Virtual environment from home office.

  • Work space should be in a separate and distinct from associate’s “home space” which is conductive to working effectively without interruptions.

  • The home space should have good light, comfortable temperature, office furniture suited to meet associate needs.

Qualifications

Education:

  • High School or equivalent required.

  • Bachelor's Degree or equivalent combination of education/related experience is required.

Work Experience:

  • Three years of technical experience preferred.

Desired Position Qualifications:

  • General knowledge of IT operations ( preferably in a healthcare setting ).

  • Understand business and technical requirements and be able to identify where there are gaps from the contract terms.

  • Experience negotiating IT transactions under master agreements, with attention to detail for confirming products, services and prices match what is in the contract.

  • Excellent written and verbal communication skills facilitating the written documentation and conveyance of complex concepts.

  • Basic understanding of contract law.

  • Demonstrates high standards of ethical conduct, behavior, and integrity.

  • Demonstrates ability to operate in a highly sensitive environment ensuring protection of confidential and private information.

Desired Education and Experience:

  • Bachelor's degree preferred in business management, supply chain management or other applicable field; and at least three (3) years information technology purchasing/strategic sourcing experience.

  • Demonstrated knowledge of the legal terminology and language related to supplier and/or vendor agreements and contracts

  • Solid systems experience and working knowledge of MS Office and contract management systems
