Job Description

Position Summary:

Performs in a Clinical Program Coordinator role to coordinate a variety of general administrative duties to support the delivery of Clinical Professional Development programs, performance processes, and learning events to support the Quadruple Aim and clinical care priorities.

Responsibilities/Duties:

  • Detail-oriented and possess the experience and analytical skills to recognize and propose process improvements

  • Lead efforts to create a streamlined Accounts Payable process for clinical education purchase

  • Partner with regional and market education leaders to process education purchases including receiving invoices and logging them into Peoplesoft

  • Audit all education orders and invoices for accuracy and work with vendors to resolve issues and discrepancies

  • Maintain vendor information and documentation

  • Work alongside finance team to support Accounts Payable tracking and reporting requirements

  • Assist CPD and all other stakeholder teams in efforts to align clinical education contracts and identify cost savings opportunities

  • Aligns programs across the Ministry Markets to empower clinical educators who deliver solutions in support of nursing, allied health, and pharmacy competency.

  • Develops time lines, coordinates resources, and monitors and summarizes the progress of projects.

  • Assists in the development and implementation of communication and program plans.

  • Prepares dashboard reports as needed to support the implementation and delivery of Clinical Professional Development programs.

  • Supports the Clinical Professional Development team by composing, typing and transcribing correspondence, forms, reports, presentation materials and other written communications as required. Routes written communications as appropriate.

  • Organizes clinical professional development programs in partnership with matrixed team members to support the daily operation, maintenance, support, usage, analysis and administration of the local Learning Management System and processes.

  • Coordinates time lines, coordinates resources, and monitors and summarizes the progress of projects.

  • Assists in the development and implementation of communication and program plans.

  • Manages the preparation of dashboard reports by conducting audits of data to ensure consistency and accuracy for the implementation and delivery of Clinical Professional Development programs.

  • Maintains an efficient process of implementing training assignments.

  • Assists with preparing for and facilitating meetings, conferences, programs and/or special events through the coordination of administrative components of training activities and events.

  • Manages training supply needs, room reservations, and catering.

  • Maintains and tracks invoices and/or department charge backs associated with training projects and programs.

Education/Experience:

Minimum Qualifications

  • Bachelor’s degree or combination of High School diploma and related experience required.

Preferred Qualifications:

  • Bachelor's Level Degree preferred.

  • Seven (7) or more year’s progressive experience as a program coordinator/manager required, including three years of progressively responsible experience in areas of accounts payable, statistical analysis, research, contract management, business management, or related field preferred.

  • Clinical experience not required.
